Retreat Terms and Conditions These Terms and Conditions (“Terms”) apply to all bookings for retreats organised by ProudRetreats Ltd. By securing your place, you agree to the following:
1. Company Information
ProudRetreats Ltd is a company registered in England & Wales. Company Number: 16755612 Registered Address: Room 5, 88a High Street, Billericay, Essex, CM12 9BT These Terms are governed by the laws of England & Wales.
2. Booking & Payments
A non-refundable deposit (£500 or £1,000 depending on ticket purchased) is required to secure your place. The remaining balance is payable in two instalments, with the final balance due no later than 12 February 2026. Payments can be made via Apple Pay, Google Pay, or Stripe. Your booking is only confirmed once payment has cleared.
3. Cancellations & Refunds Deposits are strictly non-refundable.
Cancellations made after 1 January 2026 are non-refundable in full. If ProudRetreats Ltd is required to cancel a retreat (e.g. due to insufficient numbers), guests will receive a full refund.
4. Minimum Numbers & Retreat Changes
A minimum of 18 bookings is required for both retreat dates to run. If 17 or fewer bookings are received, only one date will go ahead (6–10 March 2026 or 10–14 March 2026). In this case, guests will be offered the option to transfer to the confirmed date or receive a refund.
5. Flights & Transfers
Flights are not included in the retreat package. Group transfers are arranged for the recommended flights only. Guests arriving at alternative times are responsible for arranging their own transfers. Venue check-in is from 4pm onwards; check-out is by 11am.
6. Travel Insurance
We strongly recommend all guests take out comprehensive travel insurance to cover cancellations, medical needs, and travel disruptions. ProudRetreats Ltd cannot accept responsibility for costs arising from lack of insurance.
7. Participation & Health
Guests are required to complete a participation waiver and provide any relevant dietary or medical information before departure. You are responsible for ensuring you are fit and able to participate in retreat activities. ProudRetreats Ltd accepts no liability for injuries, illnesses, or accidents, except where directly caused by negligence.
8. Liability
ProudRetreats Ltd is not responsible for:
Personal belongings that are lost, stolen, or damaged.
Flight delays, cancellations, or disruptions.
Injuries, illnesses, or medical expenses not caused by our negligence.
9. Photography & Media
By attending the retreat, you grant ProudRetreats Ltd full rights to use any photos or videos taken during the retreat for marketing and promotional purposes, both online and in print.
10. Code of Conduct
We ask all guests to respect fellow participants and staff. ProudRetreats Ltd reserves the right to ask any guest whose behaviour is disruptive or harmful to leave the retreat, without refund.
11. Data Protection & Privacy
ProudRetreats Ltd collects personal information (e.g. dietary needs, health details, contact information) solely for the purpose of retreat planning and delivery. All data is handled in line with GDPR regulations and will not be shared with third parties.
12. Acceptance of Terms
By booking your place, you confirm that you have read, understood, and agree to these Retreat Terms and Conditions.
